Run sheets, checklists and handover notes for the people who make events work

RSVP records before the night

On a gala night, the registration desk is only as good as the list it was handed. Most check-in queues are not caused by slow staff. They come from a guest list that drifted into several versions over the weeks before, each one slightly wrong.

Pick the master list early

Decide which system holds the definitive record of who is coming. Everything else, including the seating chart, the catering count and the badge file, is an export from that master. When someone emails a change, it goes into the master first and the exports are refreshed after.

Design fields for the people downstream

  • Use set choices for dietary needs instead of free text, so the kitchen gets a count and not a paragraph.
  • Ask for the name exactly as it should appear on a badge or place card.
  • Give every guest a unique reference that seating and check-in both use.
  • Flag guests who need access help, so the floor team knows before they arrive.

Test the whole chain, not just the form

A form that submits correctly proves very little. Run a handful of invented guests through every path: accept, decline, change of mind after the deadline, a plus-one added by a table host, a duplicate submission. Then check that each one lands correctly in the catering export, the seating plan and the check-in list. Ask the people who will use those files to open them and confirm they make sense.

Get Out! Events' notes on guest data and testing for a gala dinner RSVP site set out a fuller test list, including integrations and access roles.

Collect less, protect what you keep

Only ask for information the event actually needs, and agree who can see and export it. The Personal Data Protection Commission publishes general guidance for organisations handling personal data; your own privacy team should confirm what applies to you.

Desk check: the day before the event, pick three random guests and trace them from the master list to their seat, their meal and their badge. If any one of them breaks, fix the process, not just the record.
